If you use Microsoft 365, you're already using Entra ID. You just might not know it. Entra ID, formerly known as Azure Active Directory (Azure AD), is Microsoft's identity platform. It's the component that controls who has access to what in your Microsoft 365 tenant. And it's far more powerful than most organizations realize.

What Entra ID Actually Is

Think of Entra ID as your organization's digital key ring. It controls:

  • Who can log into which systems
  • The conditions under which login is allowed (from which device, from which country, with what security status)
  • Which applications and data users can access
  • When and how access is revoked, for example, when an employee leaves

Unlike traditional Active Directory (which requires a local Windows Server), Entra ID is cloud-based. It works whether users are in the office, at home, or abroad.

Single Sign-On: One Login for Everything

One of the practical benefits of Entra ID is Single Sign-On (SSO). Your employees log in with their Microsoft 365 account and then have access to all connected applications without logging in again. Salesforce, Slack, Dropbox, your HR system: all through a single set of credentials.

It's both convenient and more secure: fewer passwords mean fewer weak passwords and fewer compromised accounts.

Conditional Access: Intelligent Access Rules

Conditional Access is Entra ID's most powerful security feature. These are rules that say: "Login is only allowed if these conditions are met."

Examples of what you can configure:

  • Require MFA when logging in from unknown devices
  • Block login from countries you never operate in
  • Allow access only from company-managed devices
  • Require up-to-date antivirus to access sensitive systems

Which License Do You Need? Basic Entra ID is included in all Microsoft 365 licenses. Conditional Access requires Entra ID P1, which is included in Microsoft 365 Business Premium and Microsoft 365 E3. P2 (with advanced identity protection) requires a separate add-on license.

What Happens When an Employee Leaves?

One of the most underestimated security risks is former employees who still have access. With Entra ID, you can disable an account with a single click and revoke all active sessions across all systems instantly. Access is gone immediately, whether the employee was logged in from a phone, laptop, or home computer.
